Purpose of the Orientation Webinar
This webinar is intended to familiarize Super Users with key Recruiting & Hiring capabilities and help build confidence navigating the system. This includes:
- Rec to Rec overview, from job requisition to recommendation to hire.
- User management basics, including user types and group-based permissions.
- Learning Center resources for continued learning, support, and community connections.
Rec to Rec Process Overview
Recruiting & Hiring supports a hiring workflow that starts with approval to post and continues through hiring and onboarding connections.
- Submit a request or requisition to advertise a vacancy.
- Approve the requisition and convert it into a job posting.
- Advertise the posting, including sharing on external platforms.
- Screen applicants using filters, stages, and applicant review tools.
- Manage interviews using scheduling tools, including self-scheduling options.
- Capture or document reference checks using electronic forms with workflow.
- Submit a recommendation for hire and notify relevant staff.
- Send a contingent offer of employment for electronic signature.
- Use scheduling tools for new hire appointments such as I-9 verification or badge setup.
- Complete the hire with considerations based on your district’s Frontline product mix.
- Transition to Frontline Central for onboarding tracking when applicable.
Key System Connections
Setup
Setup supports consistent, district-aligned hiring workflows and applicant experiences.
- Manage internal and external application pages.
- Edit questions and requirements on application pages.
- Update finishing messages shown to applicants after submission.
- Maintain the locations list, which affects job board filtering and user visibility.
- Maintain the position list and categories, which affect posting creation and reporting behavior.
Post and Advertise
Posting and advertising work together to ensure jobs are visible to applicants and manageable for staff.
- Select the job title, position, and location.
- Apply a pipeline for auto progression into the correct applicant stage.
- Add or use a posting description, including template-based descriptions.
- Add posting-specific questions when needed.
- Use the Advertise tab to promote a posting, including sharing via email.
Important posting status concepts include open or closed status for applicant visibility and active or inactive status for internal tracking and navigation.
- Enable job posting requisitions in preferences when your district uses requisitions.
- Save changes after updating preferences.
- Enable automatic posting to K12JobSpot through preferences when applicable.
Manage Applicants
Applicant management is organized around pipelines, stages, and actions that move candidates through your process.
- Use pipelines to define hiring stages and organize applicant progression.
- Auto-advance applicants into a defined stage after submission.
- Review applicants by stage to support evaluation, collaboration, and follow-up.
- Use actions to support next steps, including interview invites, forms, and email communication.
- Use filters to locate applicants with specific qualifications across a pool or job category.
Hire
Hiring workflows support communication, documentation, and structured approvals.
- Use a recommendation for hire form to communicate a selection and track approvals.
- Use workflow steps to route forms to the appropriate reviewers.
- Include offer details when applicable during approval steps.
- Send a contingent offer and capturing the candidate response.
- Initiate internal onboarding steps after offer acceptance.
- Complete the hire based on whether your district uses Position Control, HRMS, or Frontline Central for onboarding tracking.
User Management Overview
The webinar reviews user types, how to confirm user type, and best practices for permissions.
- User types: Standard Users, Super Users, Routings Only Users, and HR Admin users (*used in consortia contexts).
- View user type under Users and List All Users.
- Create a short name using a consistent naming pattern.
- Understand that short names cannot be edited after creation.
- Manage permissions using groups to reduce individual permission updates.
- Assign users to one or more groups based on responsibilities.
- Use Manage User Access to grant access and send invitations when applicable.
- Save changes after updates to users, groups, or preferences.
Learning Center Resources and Ongoing Support
Use the Learning Center to support self-guided learning and system management.
- Select Help Resources in the top right of your application and select Frontline Support to open the Learning Center.
- Search for topics such as Rec to Rec, requisitions, pipelines, locations, and user permissions.
- Access videos, eLearning courses, quick start guides, and articles.
- Use Community resources to collaborate with peers on setup, job postings, and processes.
- Find on-demand webinar recordings and registering for upcoming events.
- Select Subscribe to receive a monthly newsletter with learning and event updates.
- Create tickets and starting chats when support options are available.
