Time & Attendance Solution Orientation

This article explains what is covered in the Time & Attendance solution orientation webinar for Organization Users. It provides a high-level overview of the Time & Attendance process, including time collection, corrections, timesheet review and approval, and payroll extraction. The article also explains key system connections to Absence Management, as well as configuration areas such as contracts, master calendar events, user templates, visibility profiles, and user enrollment.

Purpose of the Orientation Webinar

This webinar is intended to support Organization Users who manage Time & Attendance for their organization. It provides a high-level introduction focused on day-to-day management tasks, key system connections, and resources to continue learning.

This session is not a comprehensive deep dive. Multi-session certification courses are available for additional training.

Connection Between AM and T&A

  • Absence Management tracks absences and substitute fulfillment
  • Time & Attendance tracks time worked

Both systems are highly configurable, and what users see may vary by organization setup.

User Types in Time & Attendance

  • Employees and substitutes capture time and may access basic reports.
  • Campus Users correct and approve timesheets and may access additional reports.
  • Organization Users manage reporting, settings, and users.

Time & Attendance Process Overview

  • Collect time
  • Correct time

Collect Time

  • Kiosk clock in and clock out
  • Mobile app clock in and clock out
  • Online timesheets, including pre-populated schedules

Correct Time

The Clock Exceptions report (Reports > People, Time, & Payroll > Clock Exceptions) helps identify deviations from scheduled time, including early clock-ins, late clock-ins, and missed punches. Report results can include links to employee details and direct access to a timesheet.

Review and Approve Time

Campus Users can review and approve time using Timesheet Review (Reports > People, Time, & Payroll > Timesheet Review). Timesheet access is controlled by a visibility profile.

Extract Time for Payroll

  • Use Clock Exceptions and Timesheet Review to verify time is complete and approved.
  • Use Payroll Lock to prevent edits within a date range.
  • Use a payroll extract aligned to payroll provider import needs.

Key Configuration Areas

Contracts

Contracts define contract dates, contracted days, maximum hours per day, and work year definitions. Contracts are associated to users through position assignments and can display master calendar events.

Master Calendar Events

Master calendar events designate date types such as holidays, days off, inclement weather days, and rescheduled days. Annual review is recommended.

User Templates

User templates control permissions and settings that influence how time is captured and what actions are available to users. Users have one assigned template, and multiple templates may be used to cover different user needs.

User Enrollment

User enrollment provides access to Time & Attendance and assigns an initial user template. Enrollment begins with user creation in Absence Management and continues in Time & Attendance.

Visibility Profiles

Visibility profiles control which jobs and locations an Administrator can see. The Missing Approvers report can identify users without an assigned approver and may require visibility profile updates.

Manage User Access

Manage User Access is used to manage application access and invitations. It supports filtering and searching, reviewing account status, sending invitations, resending invitations, and resetting a password.

Select Help Resources in the top right of your application and select Frontline Support to open the Learning Center.
